The Belgian authorities have significantly tightened their requirements for granting VAT numbers. Since 2026, the VAT administration strictly applies one rule: the company’s VAT address and its business unit must be located where its activity actually takes place.
A registered office domiciled in a business centre or a virtual office is therefore not enough to obtain a VAT number. The company must show a real economic presence in Belgium: local management, employees, premises, operational activities or any other tangible business substance. This rule applies to all companies, Belgian and foreign alike.
Without sufficient proof of this presence, the administration refuses the VAT registration.

The same documents as for a founder living in Belgium, plus a recent proof of address: a copy of a water, gas, electricity or telephone bill.
